    Location: Allens Cross Community Association – Northfield

    15 hours per week (3 hours per day Monday-Friday)

    Responsible to Chair of Trustees

    Salary: £21,000 per annum (pro rata)

    Job Purpose

    To provide a vital role in the management of Allen’s Cross Community Association. To be responsible for maintaining efficient, organised and accurate booking and accounting systems and for overseeing a variety of day to day financial and operational duties such as basic book keeping, payroll, managing bookings for room hire and answering enquiries. The post holder will work closely with the Community Engagement Coordinator to liaise with trustees, the community garden project, regular user groups and administratively support wider community projects based at the centre.

    The post holder will largely be responsible for organising their own work.

    Main duties and responsibilities

    1.  To be the main staff presence on site through the week, welcoming users, answering enquiries and handling day to day communications over telephone, email, post and in person

    2.  Managing & keeping accurate records of bank accounts

    3.  Managing day to day financial transaction: processing and paying invoices, bills, petty cash

    4.  Managing staff payroll on a monthly basis

    5.  Overseeing and processing regular and one-off bookings

    6.  Work closely with the Community Engagement Coordinator to support one off events, volunteers and engagement programmes where relevant

    7. Work with the Community Engagement Coordinator to regularly update and provide administrative support to trustees and members group

    8. Work with other staff and volunteers to oversee general maintenance of the building (e.g. liaising with contractors)

    9. Oversee health and safety and general organisation of the office and wider site10. Carrying out any other reasonable associated duties that may from time to time incidentally arise, develop or be assigned.

    Person specification

    The ideal candidate will be enthusiastic, committed and a fast learner with the ability to manage their own time

    Must be digitally literate, and willing to work with trustees and other staff to update the administrative processes of the association

    Have basic understanding of book-keeping and accountancy procedures

    Have good communication skills across different media (telephone, email, written, in person)

    Be willing and able to communicate with and work with a wide range of individuals and to liaise with external customers and contacts

    Have excellent organisational skills and the ability to prioritise a varied workload

    Additional information:

    Some flexibility in working hours can be considered

    TOIL (time off in lieu) system in operation for any evening or weekend work required (e.g. trustee meetings, community events)

    The candidate should be willing to undergo a DBS check if required

    First Aid and safeguarding training will be provided as part of the role if required
